Who we are

Number Geniuses is a client-intake platform for law firms. Firms use it to manage inquiries, communicate with prospective clients, and organize their intake work.

This policy describes our practices. Each firm remains responsible for the personal information it collects about its own clients and prospects.

Information we collect

  • Contact details a person submits through a firm's intake form (name, email, phone, matter description).
  • Records firms create while working a lead: notes, tasks, call records, messages and their delivery status.
  • Account information for firm staff (name, work email, role).
  • Technical data such as IP address and browser type when staff use the workspace.

How we use information

  • To operate the service: routing submissions to the right firm, powering follow-up, and keeping records firms direct us to keep.
  • To send service communications firms have configured, such as booking confirmations and case-status texts.
  • To protect the service: fraud prevention, abuse detection and security monitoring.

Lead verification on intake forms

To help firms tell real inquiries from spam and fraud, an embedded intake form loads a small script from our own domain. It records that the form was viewed, whether the visitor clicked or typed, how long the form was open before it was submitted, and the host of the referring page. It sets no cookies, uses no third-party trackers and does no device fingerprinting.

We combine those signals with checks on the phone number and email address, the Cloudflare Turnstile result and repeat submissions to produce a score from 0 to 100 and the reasons for it. The score is a flag for the firm's staff to review. It does not reject an inquiry automatically.

When your browser sends a Do Not Track or Global Privacy Control signal, the script does not run and we do not store those session signals, only a one-time-use marker that stops a form session from being reused. We keep IP addresses only as a keyed one-way hash that firm staff cannot see, and we do not store your user agent for this purpose. Session records are deleted after 30 days. We do not send ad click IDs to any advertising platform or conversion upload, and when your browser sends a Global Privacy Control signal we would not do so even if that changed. A firm may keep first-party attribution (campaign, click ID, referrer) on the lead record for its own reporting. The score stays with the lead record for as long as the firm keeps it.

Sharing

We share personal information only with the service providers listed on our subprocessors page, with a firm's own authorized staff, and when the law requires it. We do not sell personal information.

Retention

We keep records while a firm's account is active and for a reasonable period afterward so exports and audits remain possible. Firms can request deletion of their workspace data when they leave.

Your choices

If you submitted an inquiry through a firm and want to access, correct or delete it, contact that firm. Firms can email privacy@numbergeniuses.com on your behalf. Text messages can be stopped at any time by replying STOP; see our SMS terms.
